Create, Edit, or Close Evergreen Requisitions

This article provides step-by-step guidance for creating, editing, and closing evergreen requisitions in Workday to efficiently manage high-volume or ongoing hiring needs while ensuring candidates are properly routed through linked job requisitions for final hiring.

Purpose

This job aid provides step-by-step guidance on how to create, edit, and close evergreen requisitions in Workday. Following these steps will support consistent and effective hiring practices.

 

When to Use

Use this job aid when you:

  • Have a position(s) that have constant turnover, high volume, or seasonal jobs.

 

Steps

Create an Evergreen Requisition:

  1. Enter Create Evergreen Requisition task in the Search Bar. Select the task that appears.


     
  2. Select the Supervisory Organization for which you are creating the Evergreen Requisition.

  3. Select Employee for the Worker Type. Then, select the OK button.

  4. For the Evergreen Requisition details, select the Pencil button to edit information. Select the Checkmark button to save information. Select the Arrow button to exit a section without saving. Select the Next and Back buttons to move between sections.

  5. Enter the following information for Recruiting Details:
    Note: There are less fields/required fields for an Evergreen Requisition than a regular Job Requisition.

    1. Recruiting Start Date: Enter the date you would like to begin Recruiting for this position.

    2. Target Hire Date: Use the Calendar icon or enter a date you would like to hire for the position.
      Note: When appropriate and available, please align with the average time to fill (Average Time to Fill by Job code).

    3. Temporary Staff – Target End Date: Enter the end date that you anticipate for temporary staff assignment. This field is only for temporary staff. Select the Next button to move to the Job section.


       

  6. Enter the following required information under Job Details:
    Note: You can list multiple locations using the Primary and Additional Location fields. You can post the Evergreen Job Requisition in multiple locations. Also, you can post for multiple job levels (i.e. RN I or RN II).

    1. Job Posting Title: This field should match the Job Profile name.

    2. Job Profile: Enter a search for the Job Profile or select the Job Profile using the Prompt button.

    3. Job Description: This field will auto-populate with information from the Job Profile. Add a job posting description if one does not populate.
      Note: The team is developing the job posting descriptions and they will not always auto-populate.

    4. Worker Sub-Type: Click on the Prompt button to select a Worker Sub-Type from the available options (Regular, Standby, or Temporary).

    5. Time Type: Select the Prompt button and choose either full time or part time.


       

  7. There is a subsection for Linked Job Requisitions under the Job Details of this task. Here you can link the Evergreen Requisition to Job Requisitions tied to a Supervisory Organization. You can also choose to do this through a separate task later.


     

  8. Select the Next button to move to the Skills section.

  9. Select the Pencil button to edit the following fields:

    1. Required Skills

    2. Optional Skills

  10. Select the Next button to move to the Qualifications section.

  11. Select the Add button to edit the following sections:

    1. Education

    2. Language

    3. Certifications

    4. Work Experience

    5. Competencies

    6. Responsibilities

    7. Training Detail


       

  12. Select the Next button to move to the Organizations section.

  13. Select the Pencil button to edit the following fields:

    1. Company

    2. Cost Center

    3. Program

    4. Fund

    5. Funding Source

    6. Line of Service

  14. Select the Next button to move from the Organizations section to the Attachments section. Select the Add button in the Attachments section to upload any supporting documentation.

  15. Select the Next button to move from the Attachments section to the Compensation section. Select the Pencil button to edit the Guidelines section. Select the Add button to edit the following sections:

    1. Salary

    2. Hourly

    3. Period Salary

    4. Unit Salary

    5. Allowance

    6. Commission

    7. Other

  16. Select the Next button to move to the Assign Roles section. In the Assign Roles section, select the Add button to add a role. Then, select the Prompt button in the Role field and choose the role you would like to assign for this position. Then, in the Assigned To field, enter the name of the employee for the role assignment.


     

  17. Review the information you entered in the Summary section. Select Submit to finish. Select Save for Later if you would like to save your current progress before exiting the task. Select Cancel if you would like to exit the task without saving your current progress.

  18. After the Evergreen Job Requisition is created, complete the Configure Supplementary Questionnaires step if required. Please note, this must be completed before you post the position. Add any supplemental questionnaires for the Evergreen Job requisition. Select the Prompt button to choose a questionnaire from the available options or create a new questionnaire.

 

Edit an Evergreen Requisition:

  1. Enter Edit Evergreen Requisition in the Search Bar. Select the task that appears.

  2. Enter the name of the Evergreen Requisition you would like to edit in the Evergreen Requisition field.

  3. For the Evergreen Requisition in each section, select the Pencil button to edit information. Select the Checkmark button to save information. Select the Arrow button to exit a section without saving. Select the Next and Back buttons to move between sections.

  4. Under the Recruiting Details section, select a reason for editing the Evergreen Requisition.

  5. Update any fields on the Evergreen Requisition. Refer to step 11 from the Create an Evergreen Requisition section to update the Assign Roles section. Select Submit when you are finished.

 

Edit Evergreen Requisition: Related Actions:

  1. Navigate to the Evergreen Requisition you would like to edit by using the View Evergreen Requisition report. Enter the name of the Evergreen Requisition in the Evergreen Requisition field. Then, select OK.

  2. From the Related Actions of the Evergreen Requisition, navigate to Job Change. Then, select Edit Evergreen Requisition.
    Note: One shortcut to create a Linked Job Requisition is to use the Related actions button from the Evergreen requisition. Hover your mouse over Copy and select To Create Job Requisition.

  3. Update any fields with the edits you need to change on the Evergreen Requisition. Refer to step 11 from the Create an Evergreen Requisition section to update the Assign Roles section. Select Submit when you are finished.


     

 

Close an Evergreen Requisition:

  1. Enter Close Evergreen Requisition in the Search Bar and select the Close Evergreen Requisition task.

  2. Type in the name of the Evergreen Requisition that you would like to close and select OK.

  3. Select an appropriate Reason (e.g., Close Job Requisition > Administrative > Requisition Opened in Error).

  4. Enter the Close Date of the Evergreen Requisition.​​​​​​​
    Note: The date cannot be prior to/on the recruiting start date. The date cannot be in the future.

  5. Click Submit.


     

Notes & Tips

  • A candidate cannot be hired through an Evergreen Requisition. They must be moved to a linked Job Requisition to hire for that position if they are being considered for an opening. When a candidate is moved from an Evergreen to a linked Job Requisition, the entire application is moved to the Job Requisition. This includes questionnaire responses, interview feedback, and approvals.

  • A candidate will be at the same stage/step in the Recruiting process on the linked Job Requisition as they were on the Evergreen Requisition prior to moving them. A candidate should be moved from an Evergreen Requisition to a linked Job Requisition in the New-Review or Screen stage.

  • When available, select the Prompt button to view options to enter in the field.

  • Fields marked with a red asterisk (*) are required.
