Workday Basics: Internal Apply

Summary

This job aid will instruct employees on how to search for internal job openings within Workday.

Purpose

This job aid provides employees with instructions on how to search for job openings within workday The site provides the following advantages to employees:  

  • Opportunity to apply for jobs and track applications on Workday using the Jobs Hub Application.  
  • Ability to create, manage, edit, and delete job alerts for internal positions in the Jobs Hub application.   
  • Refer other candidates. 

 

When to Use

  • When applying for an internal position or promotion
  • Want to transfer to another department
  • Are seeking advancement within the organization
  • Need help navigating Workday’s internal job portal
  • Are unsure how to submit or track an internal application

 

Steps

Step 1: From the Workday Landing Page, select the Menu button.

 

Step 2: After selecting the Menu button select the Jobs Hub application.


(If the application button is not available you may need to add it as a shortcut by clicking add shortcut and typing Job Hub.)

Step 3: The Jobs Hub includes the following tab

  • Overview: Includes Recently Added Jobs and Recent Applications.
  • Browse Jobs: Provides an option to search for open job requisitions.
  • My Job Alerts: Create Job Alerts to be notified when a job requisition fitting your  conditions is open. View existing Job Alerts.
  •  My Applications: View your applications for the respective job requisitions.
  • My Referrals: View any candidates you submitted as referrals.

 Browse Jobs Steps

  1. From the Jobs Hub, select the Browse Jobs tab.
  2. The left navigation bar allows you to filter your search through the following categories:
    1. Primary Location 
    2. Location
    3. Hiring Manager 
    4. Job Family: Group related job profiles.
    5. Job Category: Jobs are grouped into categories such as Administration and Behavioral Medicine.  
    6. Job Profiles: A record of information about a job including a summary, description, and the job's key characteristics such as exempt status, pay rate type, job classification groups, and compensation grade. All positions on Workday are required to have a job profile.
    7. Organization: Supervisory Organizations in Workday are a logical grouping of employees who report to the same Manager. This ultimately allows them to be grouped by a specific/specialty area.
    8. Management Level: Examples are Director and Individual Contributor.

  3. Your search results will appear to the right of the filters. Select a Job you are interested in.

Internal Apply

  1. Select a job by selecting View Job.
  2. Select the Apply button to apply for a job.

  1. Enter all required information for each section. Sections include Experience, Education, Certifications, Language, and Skills.
    • Note: You can update the information in your profile by adding it to the respective section and checking the box.
  2. Upload a copy of your Resume / Cover Letter.
  3. Answer the Internal Prescreening Questionnaire.
  4. Select Submit.
    • Select Save for Later if you would like to save your current progress before exiting the task.
    • Select Cancel if you would

Create and Manage Job Alerts

  1. From the Jobs Hub, select My Job Alerts.

        2. Select Create Job Alert to allow the system to notify you of similar job postings.

       3. Enter a name for the Job Alert and select conditions for the Job Alert.

       4. Select OK.

       5. From the Manage Job Alerts page, select Manage to Edit or Delete the Job Alert.

Completion

The process is complete. The initiator will receive a Workday notification.

Notes & Tips

  • It is recommended that an employee updates the information in their Career Profile in Workday before applying to an internal job posting. Your Career Profile can be accessed from the Career section of the Worker Profile.
  • When setting up job alerts, employees can designate whether they receive job alerts through email, mobile push notification, or Workday notifications. They can also remove/modify at any time a job notification. Employees can also set how often they receive alerts.
  • Recruiters will specify details of the job posting by entering requirements such as Job Profile, Qualifications, Responsibilities, Time Type, and Location.
