Purpose

This job aid explains the general process of Approving time entries in Workday.  There are multiple ways to approve time in Workday, including: individually approving time using My Tasks or mass approving time using the Review Time task.

 

When to Use

Use this process when: 

  • Employees have submitted time for review 

  • Time corrections or adjustments require approval 

  • Payroll deadlines are approaching 

 

Steps

  1. Approving an Individual’s Time through My Tasks 

 

  1. Click the Inbox icon on the upper right of the home page.   

a. Your Inbox displays all pending tasks requiring action. 
 

 

  1. Select the Time Entry task to review from the All Items list. 

 


 

  1. The transaction details will open to the right of the All Items list. 


 

 

  1. Review all provided information carefully, including: 

a. Employee details 

b. Hours listed 

 

  1. Enter comments to clarify your decision, especially when sending back or denying a request. 


 

  1. Choose one of the following options: 

a. Approve – Confirms the request and routes it to the next step or completes the process. 

b. Send Back – Returns the request to the initiator for correction. 

c. Close – Closes details and allows managers to return to the time entry. 


 

  1. If approved or sent back, the task will be removed from your Inbox. 

 

 

 

  1. Mass Approving Time through Review Time 

 

  1. Click the Menu icon on the upper left of the home page.   


a. From the displayed Menu select Team Time. 


 

  1. Under Actions, select Review Time on the Team Time page. 

 

  1. On the Review Time screen, filter for employees to approve (or review): 

a. Review my direct reports only checkbox: Timekeepers should have this box checked, unless also approving time for subordinate supervisory organizations.  

b. The Worker Type and the Employee Type fields are optional.  

c. Select the radio button to show All Workers, Workers with Hours to Approve, or Workers with Unsubmitted Hours.  

d. The Pay Rate Type field is not required. 

e. Job Exempt Status: Select Non-Exempt.  

f. Select OK.  

 

 

  1. Select the Period to review. 

a. The current period will appear. 

b. Click Previous Period to view previous week. 

 

 

 

 

 

 

 

  1. Select the check box at the top of the first column to select all employees or select individual employees. Select Approve. The next page displays time approved and not approved. The process is complete.   


 

 

 

Notes & Tips

  • Time must be approved by payroll deadlines to ensure timely pay. 

  • Use Send Back if hours are incorrect or missing; include comments. 

  • Review overtime, shift differentials, and leave balances carefully. 

  • Approved time may require a correction process if changes are needed later. 

  • You may approve time for multiple employees from the Inbox list view.
