This document covers how to upload files & folders, share files & folders, remove access from files & folders and request users to upload files into Microsoft OneDrive.

Procedure

How to access Microsoft OneDrive

1. Click on the link below to log into Microsoft OneDrive website:

https://onedrive.live.com/about/en-us/signin/

Note: Microsoft OneDrive can also be access from https://www.office.com/ or https://outlook.live.com/owa/ through the App Launcher (located at the top left corner).

2. Enter your Norfolk State University email address.

3. Enter your Norfolk State University password.

4. Approve Duo Push authentication in your registered smart device.

5. You are now logged in Microsoft OneDrive.

How to upload files into Microsoft OneDrive

1. Click on Upload, then click on Files.

2. Select the File you want to upload to OneDrive, then click on Open.

How to upload folders into Microsoft OneDrive

1. Click on Upload, then click on Folder.

2. Select the Folder you want to upload to OneDrive, then click on Upload.

3. Click Upload.

How to share files using Microsoft OneDrive

1. Click on the file that you want to share, then click on the Share button.

2. Enter email address, then click Send.

 

 

 

 

 

 

 

 

 

 

 

Note: To change share permissions of the shared file; see Appendix A. To add a message to the link getting sent to the user; see Appendix B. Guest must sign in (NSU users) or provide a verification code (external users). For details; see Appendix C.

How to share folders using Microsoft OneDrive

1. Click on the folder that you want to share, then click on the Share button.

2. Enter email address, then click Send.

How to remove access from shared files/folders in Microsoft OneDrive

1. Select the file or folder you want to remove access to specific user, click Show Actions (3 dots), then click Manage access.

2. Click on People you specify can edit drop down (v).

3. Click on X next to the user name or email address.

4. Click Remove.

How to create a file request for users to upload files to Microsoft OneDrive

1. In your OneDrive, select the folder where you want the files to be uploaded, and then click Request files.

2. Under What files are you requesting, enter name or description of the files you are requesting for the user/users to upload, then click Next.

3. Enter the email address of the people you are sending the file request, then click Send.

4. You’ll receive a notification that the file request was sent by OneDrive.

 

 

 

 

 

 

 

Note: A notification email will be received when files are uploaded to the OneDrive shared folder.

Appendix A – How to set Share Permissions

1. Click on People you specify can edit. This will open Link Settings.

2. Under Other settings you can enable/disable the following:

  • Allow editing
  • Open in review mode only (applies only to Microsoft Word)
  • Block download

Appendix B – How to add a message to the file/folder requests

1. Click on Message…, type the information you want the user to receive included with the OneDrive link, then click Send.

Appendix C - Microsoft OneDrive Guest sign-in

1. Guest users will receive an email notification from the user that shared access to a Microsoft OneDrive file or folder. Click Open to access the file or folder.

2. Enter the email that received the shared invitation, then click Next.

Note: Steps 3 - 5 only apply to external users.

3. Click Send Code.

4. The user will receive the verification code in their email. Copy the verification code.

Note: Verification code may go to the junk folder. If the user doesn't have the verification code in their inbox, have them verify their junk folder

5. Paste verification code, then click Verify.
