Workday Basics: How to View Documents

Purpose

This job aid explains how to locate and view documents attached to records and business processes in Workday. Documents may include forms, approvals, supporting materials, or historical records associated with tasks or profiles.

 

When to Use

Use this job aid when you: 

  • View documents attached to tasks or approvals 

  • Access documents associated with your worker profile 

  • Review supporting documentation for a business process 

  • Verify document status or content 

  • Locate previously submitted or archived documents 

 

Steps

  1. Log into Workday using your university credentials  

  1. Confirm you are on the Workday Home Page. 

  1. Select My Profile  

  1. Select View My Profile from the drop-down menu (see image below).  

Note: Documents can be viewed from multiple locations in Workday, including: 

  • My Tasks (for active tasks or approvals) 

  • Your Profile (for worker-related documents) 

  • Specific business processes or reports 

Locate the Attachments or Documents Section 

  1. Select the Personal Tab, then select the IDs subtab. You may not be able to edit this information (see image below). 

  1. Select the Documents subtab.  

  1. Select the document links to view or download documents.  

  1. Select the Add button to attach documents to your profile (see image below). Depending on your security permissions, you can select Edit to update documents. 

Open a Document 

  1. Select the document name or file icon (see image below). 

  1. The document will open in a new browser tab or download to your device, depending on your browser settings and file type. 

Review Document Details (If Available) 

Some documents may display additional information, such as: 

  • Document type 

  • Upload date 

  • Uploaded by 

  • Comments or descriptions 

Review this information to confirm you are viewing the correct document.
