Workday Basics: Switch Primary Job

This job aid provides step-by-step instructions for switching an employee’s primary job in Workday when the employee holds multiple active positions.

 

When to Use

  • An employee has multiple active jobs.
  • A secondary job becomes the employee’s main role.
  • Hours or FTE distribution changes.
  • The employee transfers departments but retains an additional job.
  • Benefits eligibility must align with a different position.

 

Steps

A. Review Current Job Structure

Before making changes:

  1. Search for the employee in Workday.

  1. Go to the Worker Profile.

  1. Select Job tab.

           

  1. Review:

  • Primary job designation

  • Secondary jobs

  • FTE allocation

  • Pay rates

  • Supervisory organization

!! Confirm that switching the primary job will not negatively impact benefits, payroll, or compliance.

B. Switch Primary Job

Steps:

1. Search for the employee.

2. Select Actions.

3. Choose: Job Change → Switch Primary Job

4. Under Details, Click Edit in Date and Reason to make required changes.

5. Click Edit in Proposed Primary Job. Select the job that will become the new primary position.

6. Confirm:

o Supervisory organization

o Compensation alignment

o Work schedule

7. Add comments (if required).

8. Submit.

The business process will route for approval.

C. Review Post-Submission

After approval:

1. Confirm the new primary job appears correctly on the worker profile.

2. Verify:

o Benefits eligibility

o Time tracking profile

o Payroll setup

o Security roles

3. Notify payroll if changes affect pay frequency or earnings.

Notes & Tips

  • Switch Primary Job may not appear under Change job without proper credentials
  • If there is no pay group assigned to employees new role then you will not be able to complete the submission
