How to Change Notification Preferences

Purpose

This job aid explains how to review and update your Notification Preferences in Workday. Notification Preferences determine how and when you receive alerts, reminders, and task updates either in your Workday Inbox, via email, or both.

When to Use

Use this process when you need to:

  • Reduce the number of Workday email notifications.
  • Enable notifications for important updates.
  • Modify or tailor which business processes send emails.
  • Set your preferences for reminders, approvals, and FYI messages.

Steps

From the Workday Home page:

Step 1: Access Your Profile: On the homepage, click your Profile picture or initials in the top-right corner (see screenshot below).

Step 2: Select "My Account": Choose Change Preferences from the drop-down menu (see screenshot below).

Step 3: Open Your Preferences: From the drop-down menu, select My AccountChange Preferences (see screenshot below).

 

Step 4: View Notification Settings: Scroll to the Channels section (see screenshot below).
Here, you can modify the alert frequency for notifications.

  • Email Notifications
  • Mobile Notifications (if mobile app is installed)
    Notification types, such as:
    • General Notifications
    • Time off
    • Approvals
    • Delegations
    • Reassign Notifications
    • Tasks

 

Step 5: Adjust Alert Frequency (If enabled) for each Notification
Some tenants allow settings such as

  • Daily
  • Immediately
  • Mute

Click the Hamburger menu (  ) to expand the dropdown menu. Select the option that best fits your needs (see screenshot below).

Step 6: Save Your Changes: Click OK at the bottom of the page to apply your new preferences.

Notes & Tips

  • Turning off all email notifications may cause you to miss important tasks.
  • Notifications still appear in your Workday Inbox even if emails are disabled.
  • If you are a Manager or Learning Admin, consider keeping email alerts ON for approvals and time-sensitive tasks.
  • Some notifications are system-mandated and cannot be disabled.
